The staff attendance should be accurately recorded and it is a significant part of the human resource personnel information maintained by the any organization. The Staff Attendance Records should accurately reflect the number and identity of staff present during the operating hours. The main objective of this is to provide an overview of the employee's entire attendance record. Staff or employee attendance records should be maintained on daily basis. This is then submitted to the supervisor for routine cross verification and then to the Manager for final approval.

The common entries to be filled in an Employee Attendance Record are the employee's name, Personnel No, Department, Position, Date of Hire, Supervisor, Year and detailed monthly summary. Besides that - Family/Floating Leave, Bereavement Leave, Maternity/Paternity Leave, Time off in lieu of compensation, Sickness/ Accident, Vacation, Long Term Disability and Workers' Compensation also should be recorded. Only the employee's absence from work needs to be recorded. Holidays and half day work schedule are marked separately. This has to be duly signed by the immediate Supervisor.

The employees need to make a note of the required attendance details on the staff attendance records. The mentioned details in the monthly Leave Taken Report is passed to Human Resource department. The basic idea behind this is to check whether the employee has submitted the leave application and got permission for the absence from the superior. However in some companies the staff attendance record is maintained by the HR Services and the employees are not privileged to mark their attendance.

Employees working by flex timing are expected to fill the Flextime Attendance Record. Regular employees have to mention the standard and variable hours put in the work separately .All the details regarding the staff attendance has to be filled in the work unit and has to be preserved at least for 6 years. This is in case there are any discrepancies and in case of an audit by the state or federal labor boards.

The payments are paid based on the hours and the rate fixed during signing the employment contract. The purpose of maintaining an Employee Attendance Record (EAR) is to document the hours worked, leave with and without pay and sick leave details. The staff attendance is recorded now in electronic format instead of the conventional mode of manual writing.

The are many advantages of maintaining staff attendance. It gives an idea about the employees discipline and any incase of frequent absenteeism efforts should be taken by the superiors to analyze this behavior. In addition to that it facilitates in devising remuneration chart and performance appraisal.
